Whitchurch Community Centre Hire TermsThese terms are given to all hirers at the time of booking. Please make sure you read them.
It is very important you understand that you're responsible for leaving the centre in the same condition you found it. Any failure in these responsibilities will result in your deposit being lost.

Terms and Conditions of Use

When using the Hall please remember that it is unmanned, run by volunteers, and we look for the co-operation of all users in looking after it and keeping it in good condition for others.

1Full payment must be received before occupation.

2There are two fire exits for the rooms, the main entrance and a fire door. KEEP FIRE EXITS CLEAR AT ALL TIMES. Please read the fire notice on the user’s notice board.

3In case of fire, evacuate all persons via the exits, dial 999 (landline) or 112 (mobile) for the Fire Service.

4No Smoking is allowed on the premises. Smoke machines must NOT be used as they will set off the alarms.

5A basic First Aid Kit is kept in the kitchen.

6If you have any special requirements for your hire please contact us to agree arrangements.

7Hirers are responsible for ensuring that any electrical equipment brought into the Centre is in a safe condition.

8Thermostats have been set by the heating engineer and must not be tampered with.

9Please only use the room(s) you have paid for. The foyer is not to be used exclusively by any one group.

10Children must be supervised at all times.

11At the end of your hire:-

(i)Check toilets and kitchen to ensure they are left in a clean and tidy condition, and that all taps are switched off.

(ii)The floor must be brushed and mopped clean for the next user.

(iii)If communal crockery is used, wash up, dry and put away in cupboards. Please provide own tea towels.

(iv)If communal appliances have been used, please ensure that they are switched off.

(v)Any rubbish must be removed as the Centre does not have its own disposal facilities.

(vi)Please switch off all lights and ensure all windows and doors are secure.

(vii)Chairs and tables to be neatly stacked in storage trolleys unless left out by arrangement with the management.

Cancellation Policy

For occasional users, in the event of cancellation 50% of the agreed charge will be payable. Regular users are required to give four weeks notice in lieu of payment.

Any damage must be reported and paid for. Failure to abide by the terms and conditions will result in withdrawal of facilities and the loss of your deposit.

Above all, enjoy your event and please use common sense at all times in ensuring that people attending the event (particularly children) respect the Centre and its facilities. Do not undertake activities that could lead to accidents to persons or damage to the Centre and its facilities.

The committee reserves the right to change the terms and conditions when deemed necessary.
